1. Information we collect
We collect information in a few different ways:
Information you give us directly
- Group finder searches: location, group size, date, occasion, budget range and space preference when you use the finder on our homepage.
- Restaurant introductions: restaurant name, city, your name, email, private dining capacity, website and any details you share when a restaurant submits its profile to us.
- Correspondence: anything you send us by email or through a contact form, including the contents of your message.
- Cookie preferences: the choice you make in our cookie banner (essential only, or accepted).
Information collected automatically
- Usage data: pages viewed, links clicked, search parameters, referring pages and time spent on the site.
- Device and connection data: browser type, operating system, device type, IP address and approximate location derived from your IP address.
- Cookies and similar technologies: described further in Section 4.
Information from restaurant partners
When a restaurant introduces itself to GroupTops, we collect the business and contact information it submits, including private dining capacity, group menus, minimums and amenities, so we can evaluate fit for future guest matches.
2. How we use information
We use the information we collect to:
- Operate, maintain and improve GroupTops, including the group finder and restaurant matching experience;
- Communicate with you about your search, a restaurant submission, or a message you sent us;
- Understand how GroupTops is used so we can fix problems and prioritize new features;
- Detect, investigate and prevent fraud, abuse and security incidents;
- Meet legal, regulatory and contractual obligations.
Where our matching engine and backend systems are not yet connected, search details submitted through the finder are retained only as needed to build and test that functionality, as described in Section 6.
3. How we share information
We do not sell your personal information. We may share information with:
- Restaurant partners, when doing so is necessary to connect your group inquiry with a restaurant that may be able to accommodate it;
- Service providers who host our infrastructure, send email on our behalf, or otherwise help us operate GroupTops, under confidentiality and data protection obligations;
- Professional advisors, such as legal or accounting firms, where needed to obtain their advice;
- Authorities or third parties, where required by law, to protect our rights, or to protect the safety of our users or the public;
- A successor entity, in connection with a merger, acquisition, financing or sale of some or all of our business, subject to standard confidentiality arrangements.
4. Cookies & tracking technologies
GroupTops uses cookies and similar technologies to keep the site working and, where you consent, to understand how it's used.
- Essential cookies are required for core site functionality, such as remembering your cookie preference and keeping the site secure. These cannot be turned off through the cookie banner because the site would not function properly without them.
- Optional analytics cookies help us understand aggregate usage patterns so we can improve the product. These are only set if you choose "Accept" in the cookie banner.
You can change your cookie choice at any time by clearing your browser's local storage for this site, which will show the cookie banner again on your next visit. Most browsers also let you block or delete cookies directly in your browser settings.
5. Your choices & rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of the personal information we hold about you, and to object to or restrict certain processing. To make a request, contact us using the details in Section 12. We will respond in line with applicable law, which may require us to verify your identity before acting on a request.
If we introduce marketing communications in the future, every marketing email will include an unsubscribe link, and you can also opt out by contacting us directly.
6. Data retention
We keep personal information for as long as it's needed for the purposes described in this policy — for example, for as long as your inquiry or a restaurant profile is active, plus a reasonable period afterward to answer follow-up questions, maintain business records, and meet legal and accounting requirements. When information is no longer needed, we delete it or render it anonymous.
7. Data security
We use reasonable administrative, technical and physical safeguards designed to protect the information we hold from loss, misuse and unauthorized access. No method of storage or transmission over the internet is completely secure, so we cannot guarantee absolute security.
8. Children's privacy
GroupTops is intended for adults planning group dining and is not directed to children. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us so we can delete it.
9. International data transfers
GroupTops may process and store information in countries other than the one where you live. Where required, we use appropriate safeguards to protect information transferred internationally in line with applicable data protection law.
10. Third-party links
GroupTops may link to restaurant websites and other third-party sites. We are not responsible for the privacy practices of those third parties, and we encourage you to review their privacy policies before sharing information with them.
11. Changes to this policy
We may update this policy from time to time as GroupTops evolves. If we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice.
